FAQ

Frequently asked questions about Smart Agents for Business Central

General

What is Smart Agents?

Smart Agents is an AI assistant platform that integrates directly into Microsoft Dynamics 365 Business Central. It allows users to query their ERP data using natural language, automate repetitive tasks, and generate reports through a conversational interface.

Which versions of Business Central are supported?

Smart Agents requires Business Central 2024 Wave 2 (version 25) or later. Both SaaS (cloud) and on-premises deployments are supported.

Is Smart Agents available in my country?

Smart Agents is available in all regions where Microsoft Dynamics 365 Business Central is supported. The AI service is hosted in Azure regions that comply with data residency requirements for your tenant location. A full list of supported regions is available on the Smart Agents Portal.

What languages does Smart Agents support?

Smart Agents supports English for all interactions. Support for additional languages is planned for a future release. Users can query Business Central data that contains non-English text, but the conversational interface and agent responses are in English.

Security and Privacy

Does Smart Agents store my Business Central data?

Smart Agents processes your data in real-time to generate responses but does not permanently store your Business Central data. Query inputs and response summaries are retained temporarily for the conversation history and audit log, subject to your configured data retention policy. The underlying Business Central records are never copied to external storage.

How is my data protected?

  • All communication between Business Central and the Smart Agents API is encrypted with TLS 1.2 or later
  • API keys can be stored in Azure Key Vault for secure credential management
  • Agent data access is scoped and respects Business Central permission sets
  • Audit logs track every query and data access event
  • Data retention policies are configurable by administrators

Is Smart Agents SOC 2 compliant?

SOC 2 Type II certification is in progress and expected to be completed by Q3 2026. Contact sales@smart.agent.net.ai for the latest compliance documentation.

Can I restrict which data agents can access?

Yes. Administrators can configure data access policies that restrict agent access at the table, field, and row level. These restrictions are layered on top of the user's existing Business Central permissions. See the Administration guide for details.

Billing and Credits

How does credit-based billing work?

Credits are consumed each time an agent processes a query. The credit cost depends on the complexity of the question and the AI model tier used. Higher-capability model tiers consume more credits per interaction, while simpler queries on lower tiers cost less. You purchase credits at the organization level and allocate them to individual users or departments. Detailed per-tier rates are available on the Pricing page of the Smart Agents Portal.

What happens when I run out of credits?

When your credit balance reaches zero, agents will not process new queries. Users will see an "insufficient credits" message. Administrators can purchase additional credits or enable auto-replenishment in the Smart Agents Portal to avoid interruptions.

Can I try Smart Agents before purchasing?

Yes. New customers receive a free trial with 500 credits, which is typically enough for several weeks of evaluation use. No credit card is required for the trial period.

How much does Smart Agents cost?

Pricing details are available on the Smart Agents website at smart.agent.net.ai/pricing. We offer volume discounts for larger organizations.

Agents and Templates

What is the difference between a template and a custom agent?

Template agents are pre-built by Smart Agents for common business tasks (e.g., aged receivables analysis, inventory reorder suggestions). Custom agents are created by your organization's Power Users or Administrators with custom system prompts and data scopes tailored to your specific workflows.

Can I modify a template agent?

You cannot modify templates directly, but you can duplicate a template and customize the copy. Navigate to the template in the library, click Duplicate, and then edit the duplicated agent's configuration.

How many custom agents can I create?

There is no hard limit on the number of custom agents. The practical limit depends on your subscription tier. Check your plan details in the Smart Agents Portal.

Can I share an agent with other users?

Yes. Power Users and Administrators can share custom agents with other users in their organization. Navigate to the agent's settings and add users or user groups under the Sharing section.

Technical

Does Smart Agents work with Business Central on-premises?

Yes. On-premises deployments require manual installation of the extension .app file and network access to the Smart Agents API endpoint. See the BC Extension Installation guide for on-premises-specific instructions.

Can I access Smart Agents via API?

Yes. The Smart Agents REST API allows you to interact with agents, manage templates, and query usage data programmatically. See the API Reference for full documentation.

Does Smart Agents support webhooks?

Webhook support is planned for a future release. Webhooks will allow you to receive notifications when agents complete tasks, credits are low, or other events occur. See the Webhooks section of the API reference for the planned specification.

Can I integrate Smart Agents with Power Automate or other automation tools?

Direct Power Automate connectors are on the roadmap. In the meantime, you can use the REST API to integrate Smart Agents with any automation platform that supports HTTP requests.
