Authorized Users

The Authorized Users subpage lists the Business Central users who are allowed to chat with a specific agent.

The Authorized Users subpage lists the Business Central users who are allowed to chat with a specific agent. It is embedded in the Smart Agent card and is relevant only when Allow All Users is turned off on that card. If Allow All Users is on, all tenant users can access the agent regardless of this list.

In plain terms

This is simply the access list for an agent — who's allowed to use it. There's no AI concept here; it works like assigning users to a user group or permission set.

It only matters when Allow All Users is off on the Agent Card. Then the rule is straightforward: only users on this list can see and use the agent. (And note the trap — if Allow All Users is off and this list is empty, nobody can use the agent.) Use this for sensitive agents, e.g. a payroll agent only HR should reach.

How to open it

  • This page is embedded in the Smart Agent card. Choose the Authorized Users action in the Related group.
  • If no users are listed and Allow All Users is off, the agent is hidden from all users.

Actions

Add All UsersAdd all users from this tenant to the agent. Prompts for confirmation before adding.
Remove All UsersRemove all users from this agent. This makes the agent accessible to everyone (open access) when Allow All Users is also off — in that state, no restrictions apply and any user can access the agent. Prompts for confirmation.

Notes

  • Access control through this list applies at the tenant level. A user granted access can use the agent from any environment or company in the tenant.
  • When Allow All Users is enabled on the agent card, this list is bypassed entirely — every enabled user in the tenant has access regardless of whether they appear here.
  • When Allow All Users is off and this list is empty, no users can see or use the agent. Use Add All Users or add users individually to grant access.
  • Full Name and the Added By / Added At audit fields are populated automatically; you cannot edit them directly.
